From Planning to Practice: ICUdata4EU Partners Map Out Hospital Rollout

Representatives from Luxembourg National Data Service (LNDS), Clinomic and the University Hospital RWTH Aachen recently came together for a hands-on implementation workshop focused on preparing the rollout of ICUdata4EU's federated data infrastructure across participating hospitals.
Following the successful development of ICUdata4EU's federated dataspace components, the project is now entering the next phase: implementation across participating hospitals throughout Europe. With partners ranging from Portugal to Romania and Latvia to Greece, establishing a common rollout approach is a key prerequisite for successful deployment.
The meeting brought together both technical and organisational perspectives on what it actually takes to deploy the infrastructure at hospital level — from identifying the right contacts and navigating internal approval processes to defining what needs to be documented along the way. A central topic was the division of roles and responsibilities between LNDS and Clinomic, as well as how to structure engagement with hospitals already in or entering the rollout pipeline.
Two presentations set the stage for these discussions. The University Hospital RWTH Aachen shared invaluable insights on implementation from a clinical standpoint, highlighting the coordination of internal processes, regulatory compliance, and ethical approvals. Clinomic presented their structured methodology for stakeholder engagement and project-level process management.
The workshop wrapped up with something tangible: a jointly drafted roadmap for the rollout process, with clearer responsibilities on all sides. The roadmap will serve as a shared framework for upcoming deployment activities as ICUdata4EU enters the next phase of implementation.
